Yukon-Alaska Council of Toastmasters
Council Documents
Here are various documents used within YACT. If you are looking for a Toastmaster International form, see the Resources page for the TI FaxBack Service or the Toastmaster International Web site, which has many TI forms in Adobe Acrobat .PDF format.
YACT Policies and Procedures
General YACT standard operating procedures and policies. Here is where you can find answers to questions like, How can I get reimbursed for travel? What geographic area does YACT cover? How does YACT conduct its business? What do the Council officers do? And much more! [Microsoft Word] [Adobe PDF] [Updated 2/25/2008]
You can also get access to the Toastmasters International District Leadership Handbook on their site (the link takes you directly to a PDF file). It has a ton of information about how to start and run clubs, doing conferences, running a district, and much more.
Dues schedule form [Microsoft Excel]. Use this form to calculate a new member's dues based on when they join in the year.
Toastmaster International District Bylaws
The geographic boundaries in Section V are the State of Alaska and the Yukon Territory. [Adobe PDF]
Under the provisions of Article XVII (c) of the District Administrative Bylaws (the Bylaws), the Territorial Council or Yukon Alaska Council of Toastmasters (the Council) shall use the following procedures to implement the Bylaws in conducting the business of the Council:
- All occurrences within the Bylaws referencing the “District” or “District Council” shall be understood to mean the Council.
- Article III(a), shall not apply as long as individual members are assessed dues to Toastmasters International at the “undistricted” rate.
- So long as the Council is not funded by Toastmasters International, all references in Article XII or elsewhere within the Bylaws referring to requesting, reporting, or use of funds or budgets shall not apply to the Council.
Web Contact Permission Form
Toastmasters International requires that we have an email, fax, or written permission before putting a member's personal contact information on a Web site. You can use this Microsoft Word 97/2000 document below to provide or revoke permission, or email the Web master.
[Microsoft Word] [Adobe PDF] (Updated November 2005)
Proxy Form
This is the form needed for clubs who will not have all of their officers present at YACT conference business meetings. Starting about a month before each conference, YACT officers will begin reminding you to fill these out and give them to another member attending the conference. This is very, very important!!! [Microsoft Word] [Adobe PDF]
YACT Awards
YACT hands out a few coveted awards each year to members and community members who distinguish themselves in various ways. These are the documents that describe the award and applications for those that are based on member nominations.
Toastmaster of the Year Award
- Description [Microsoft Word] [Adobe PDF]
- Application [Microsoft Word] [Adobe PDF]
Communications and Leadership Award [Microsoft Word] [Adobe PDF]
YACT Travel Gavel
The YACT Travel Gavel is given to the club at each conference with the most members who have traveled the longest distances, that is, the club with the greatest value of
(# members attending conference) x (distance traveled)
The distance is determined as a great circle distance as calculated by http://www.indo.com/distance/index.html. You can download an Excel spreadsheet with the official calculations; this is the only official version and is the final say once the award is presented at each conference. Get your members to the YACT conferences; it's great fun and wonderfully educational!
- Wizards Checklist. Simple form that will make the Wizard of Ahs and Ings' job much easier during a meeting. Courtesy of Tundra Talkers Toastmasters, Fairbanks. [Microsoft Excel] [Adobe PDF]
- Goal Sheets. Use this form to commit to your goals for the coming Toastmaster year. [Microsoft Word] [Adobe PDF]
- Sample Toastmaster Meeting Schedule. Going for a well-planned, efficient meeting? Use this sample schedule to plan and execute your next meeting. [Microsoft Word] [Adobe PDF]
- Introductions. Although it is the responsibility of the Toastmaster of the meeting to be prepared to give a meaningful, informed, interesting introduction to ever speaker on the day's agenda, it's not always easy to get the proper information to the Toastmaster. This is a form that helps the Toastmaster give a proper introduction to the person giving a speech. [Microsoft Word] [Adobe PDF]
- Club Success Plan Form. [Microsoft Excel] [Adobe PDF]
